Quick Reference for Posting Meetings

In order to comply with Open Meeting Laws, your meeting must be posted 48-hours prior to the meeting (this does NOT include weekends or holidays) and at our office no later than 3:00 pm 48-hours prior to the meeting. If received after 3:00 pm, it will be posted on the following day, which may not allow the full 48-hour notice to be compliant.

The posting is the little square that contains information regarding the meeting (see Meeting Posting Form).  It includes the Name of the Board/Committee, the time of the meeting, the day and date of the meeting, and where the meeting is to be held (ie: VMB, Room 123, or CFB Cafeteria, Millis Public Library, etc.).  Zoom link should be included if the meeting is virtual.

The agenda must include in the heading:  The Board/Committee name, address where the meeting will be held (don’t forget to include room number)/or Zoom link, time, day and date of the meeting, and “Agenda”.  The agenda itself must have "Call to Order", "Old Business", "New Business", "Correspondence/Other Business", and "Adjournment", with the information this meeting is pertaining to.

The best way to submit this information is either in person, or by email to: TownClerk@millisma.gov . By using this email, the three of us in the office receive it at the same time, which assists in getting the meetings posted promptly.

Once the agenda and posting are received at the Town Clerk’s office, we will post it.  Please remember that the posting and agenda need to both be posted 48-hours in advance, therefore, it usually works best to submit them together.
